Job Overview:

The Deputy Manager Import & Export is responsible for managing and overseeing the import and export activities of the company. This includes coordinating logistics, ensuring compliance with regulations, maintaining relationships with vendors, and optimizing the flow of goods. The role requires a thorough understanding of international trade laws, shipping procedures, and documentation requirements.

Key Responsibilities:

  • Import & Export Operations: Supervise all import and export operations, ensuring that shipments are processed and delivered on time, within budget, and in compliance with regulations.
  • Customs Compliance: Ensure compliance with international trade regulations, including import/export documentation, tariffs, customs duties, and other legal requirements.
  • Documentation Management: Prepare, review, and manage all necessary documents for international shipping (invoices, packing lists, bills of lading, certificates of origin, etc.), ensuring accuracy and timeliness.
  • Vendor Management: Maintain and build relationships with customs agents, freight forwarders, shipping lines, and suppliers to optimize the supply chain and negotiate favourable terms.
  • Freight Management: Coordinate with freight forwarders, shipping companies, and transporters to ensure timely and cost-effective delivery of goods.
  • Cost Control: Monitor and manage costs related to import and export activities, including duties, freight charges, and other related expenses. Implement cost-saving strategies wherever possible.
  • Inventory Coordination: Work closely with the inventory and procurement teams to ensure stock levels are aligned with the shipping schedules and production requirements.
  • Risk Management: Identify potential risks in import/export processes (delays, compliance issues, financial risks) and implement preventive measures to mitigate them.
  • Compliance Audits: Conduct periodic audits of import/export documentation and processes to ensure adherence to company policies and government regulations.
  • Team Management: Provide leadership and guidance to the import/export team, delegating tasks and responsibilities to ensure smooth operations.
  • Market Research: Stay updated on global trade trends, tariff changes, and other factors impacting international trade. Propose new strategies to improve import/export operations.
  • Problem Resolution: Handle any issues that arise during the shipping process, such as delays, damaged goods, or customs holds, and ensure a prompt resolution.
  • Reporting: Prepare detailed reports on import/export activities, cost analysis, and performance metrics for senior management.

Skills & Qualifications:

  • Bachelor’s degree in Supply Chain Management, International Business, or a related field.
  • 5+ years of experience in import/export operations, with at least 2 years in a supervisory or managerial role.
  • In-depth knowledge of international trade regulations, customs laws, and shipping processes.
  • Excellent negotiation and vendor management skills.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficiency in ERP systems and Microsoft Office (Excel, Word, PowerPoint).
  • Strong communication and leadership skills.
  • Ability to work under pressure and meet tight deadlines.
  • Knowledge of Incoterms and global supply chain practices.

Work Environment:

  • Office-based role with occasional travel to ports, customs offices, or supplier locations as required.
  • Fast-paced environment with tight deadlines and high accountability for timely and accurate execution of duties.
